YOUR ROLE
As a Payroll and Benefits Specialist, you will handle the complete processing of Canadian payroll, including year-end procedures, while ensuring adherence to federal and provincial regulations. Additionally, you will manage employee benefits programs, encompassing retirement benefit plans. The role is located in Ontario or Quebec.
WHAT ARE YOU GOING TO DO?
Payroll Processing
- Prepare and process payroll for all employees accurately and on schedule.
- Ensure compliance with federal and provincial payroll laws and regulations.
- Maintain payroll records, including timekeeping, attendance, and deductions.
- Reconcile payroll reports and resolve discrepancies.
- Collaborate with finance and HR departments for payroll-related matters.
- Validate and audit payrolls to ensure accuracy of all information.
- Update and maintain the timekeeper.
- Generate the year-end cycle and issue T4, Relevé 1 forms, respective summaries and prepare necessary tax filings,
Compliance & Reporting:
- Prepare and submit required reports to government agencies (e.g., tax filings, benefit reporting).
- Stay updated on changes in payroll and benefits regulations and implement necessary adjustments.
- Create and generate reports.
Benefits Administration:
- Administer employee benefits programs, including health, dental and life insurance, retirement plans, leave policies, and wellness programs.
- Assist employees with benefits enrollment, changes, and inquiries.
- Educate employees on benefits options and procedures.
- Support the management of outsourced vendor relationships to ensure accurate benefits delivery, optimal plan performance, regulatory compliance, and cost control.
- Support the identification and execution of enhancements to the benefits administration process.
- Assist in creating and reviewing benefit communication materials.
- Aid in the management of benefits accounting procedures and monitor benefit expenses in relation to the budget.
- Ensure timely and accurate processing of benefit invoice payments.
- Facilitate the prompt and precise funding of RRSP and RPP plans.
- Contribute to the planning and implementation of well-being initiatives for the entire workforce.
- Cultivate and maintain relationships with benefit vendors.
- Coordinate with benefits providers and vendors.
- Collaborate with the CEVA benefit's team to administer the benefit plans
Employee Support:
- Act as a point of contact for payroll and benefits-related questions.
- Maintain confidentiality of employee information.
- Performs other duties as assigned.
WHAT ARE WE LOOKING FOR?
Education and Experience
- DEC/college or higher in a related field (accounting, finance or HR) with at least 1-3 years of experience as a Payroll Coordinator/Analyst or in a similar position.
- PCP (Payroll Compliance Practitioner) (Added value)
- Advance knowledge of Microsoft Office (Excel, Word, Outlook)
- Full scope knowledge of Canadian Payroll practices.
- Strong knowledge of Provincial and Federal employment standards and labour laws.
Knowledge, Skills & Experience
- Knowledge of SAP SuccessFactors, ADP and/or UKG. (Added value)
- Excellent time management, attention to detail and organizational skills a must.
- Ability to multi-task and work in a fast-paced environment.
- Responsible, autonomous, and high degree of confidentiality.
- Bilingual in English and French both written and spoken.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.

- PC Literate. Intermediate proficiency in Microsoft Office, internet, web-based and job specific applications.
