  • Engineering Project Coordinator

    Engineering Project Coordinator– Waterloo, ON Hiring Manager: Mike Deyo, Director Summary The preferred candidate will be a key member of the field team and will be responsible for a wide range of administrative duties. The incumbent will keep the team organized so that field work can be performed in a cost‑efficient and timely manner. The incumbent will support the field crews when they are on site and when they are in the office. Due to the nature of the hours worked by field technicians, there will be need to work outside of normal working hours to support the crews when they are traveling, as required. This role is an entry position to move into other engineering duties. Minimum Qualifications Bachelor’s degree in civil engineering or equivalent; excellent organization and attention to detail skills; excellent time management skills; proficiency in MS Word and MS Excel; ability to maintain data in project management software Sitetracker, with training; excellent English communication skills (oral and written); ability to quickly learn and adapt; Canadian resident with necessary permit or citizenship to work in Canada. Exhibit strong organizational skills: must have the ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast‑paced environment. Possess strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively. Present strong project management skills with the ability to organize applicable department timelines and follow up with internal and external customer needs as needed. Be self‑motivated and able to work both independently to complete tasks and respond to department requests as well as collaborating with others to utilize resources and knowledge in identifying high‑quality solutions. Able to work with functional groups and different level of employees throughout the organization to achieve business results effectively and professionally. Adhere to all company and industry standard/regulations/safety practices. Essential Functions Request setup of new incoming inspection jobs; Prepare field project folders; Maintain project management software data for resource allocation and project status; Liaise with PMs and field crews to ensure scope of each field project is clearly communicated; Support booking car rentals, hotels, airline travel; Coordinate hiring cranes, manlifts, and/or request power downs; Support Division Manager with weekly scheduling and updating field schedules; Coordinate site access for field technicians; Verify field completed tasks (Job Safety Analysis, field book notes, photo uploads, etc); Coordinate field vehicle maintenance and maintain logs; Maintain field gear inventory/shipping between offices; Maintain equipment calibration; Coordinate Vendor purchasing for field work; Assist with expense report review to ensure proper job allocation; Request necessary permits for drone flights, when required. Coordinate onboarding training for new hires and refresher training, as required. Other duties as required.
