The incumbent will keep the team organized so that field work can be performed in a cost‑efficient and timely manner. The incumbent will support the field crews when they are on site and when they are in the office. Due to the nature of the hours worked by field technicians, there will be need to work outside of normal working hours to support the crews when they are traveling, as required. Essential Functions Request setup of new incoming inspection jobs; Prepare field project folders; Maintain project management software data for resource allocation and project status; Liaise with PMs and field crews to ensure scope of each field project is clearly communicated; Support booking car rentals, hotels, airline travel; Coordinate hiring cranes, manlifts, and/or request power downs; Support Division Manager with weekly scheduling and updating field schedules; Coordinate site access for field technicians; Verify field completed tasks (Job Safety Analysis, field book notes, photo uploads, etc); Coordinate field vehicle maintenance and maintain logs; Maintain field gear inventory/shipping between offices; Maintain equipment calibration; Coordinate Vendor purchasing for field work; Assist with expense report review to ensure proper job allocation; Request necessary permits for drone flights, when required. Coordinate onboarding training for new hires and refresher training, as required. Other duties as required.
