We’re currently looking for an Administrative Coordinator, Action Table Calgary to join our team.

    Reporting to the Manager, Action Table Calgary, the Administrative Coordinator, Action Table Calgary will provide dedicated administrative coordination and operational support to ensure the stability and continuity of Action Table Calgary (ATC) operations. The Administrative Coordinator will backfill the coordinator’s regular administrative duties – including meeting coordination, documentation, data entry, and partner communication – to maintain consistency and efficiency across all ATC processes. This position ensures consistent partner communication, meeting coordination, data accuracy, and documentation management as part of United Way of Calgary and Area’s Community Impact and Partnerships Division.

    What you will do Meeting & Case Management • Schedule weekly ATC meetings and manage all associated logistics. • Prepare case decks, track attendance, manage polls, and confirm outcomes. • Provide in-meeting technical support (Teams, slides, and polls). • Maintain case tracking documentation, slide decks, and version control to ensure case flow accuracy.

    Partner & Agency Administration • Onboard new agencies and members, including managing intake forms and training registration. • Maintain the Master Contact Sheet, agency agreements, and confidentiality forms. • Support partner communication and follow-ups between meetings.

    Document & Data Management • Enter and maintain case data within tracking and reporting systems. • Ensure document version control and update directories and SharePoint resources. • Maintain organized filing systems for all ATC-related materials.

    Evaluation & Reporting Support • Track meeting polls and confirm outcome selections for accuracy. • Support data preparation for evaluation and reporting purposes. • Collaborate with evaluation staff to ensure timely and consistent information flow.

    Financial & Resource Administration • Process expense reimbursements and purchase requests. • Coordinate logistics for training sessions, meetings, and events. • Track and reconcile administrative expenses as required.

    Communications & External Relations • Manage distribution lists and share meeting updates and outcomes with partners. • Support directory and website updates in coordination with UWCA Teams. • Ensure partners receive timely, clear communication and resources.

    General Administrative Support • Respond to partner inquiries and provide front-line administrative support. • File sensitive and confidential materials in compliance with UWCA policy. • Troubleshoot technical or access issues for meetings and shared tools. • Serve as the first point of contact for ATC logistical coordination.
    What you will bring Experience: Postsecondary education in administration, human services, or a related field, or equivalent work experience. Minimum 2 years of experience providing administrative or coordination support in a collaborative or cross-sector environment. Strong proficiency in Microsoft 365 applications (Word, Excel, Teams, SharePoint, Outlook). Experience with databases and data entry is an asset. Exceptional attention to detail, organizational skills, and ability to manage multiple priorities. Strong interpersonal and communication skills with experience supporting multi-stakeholder projects Attributes: Team-oriented and adaptable, with strong collaboration skills. Demonstrates discretion and professionalism in handling confidential information. Solutions-focused and proactive in identifying opportunities for efficiency.
