Maplesoft Group is currently seeking an Information Management (IM) Architect for our Federal Government client. Tasks and Responsibilities include, but are not limited to the following: Project Planning 1. Conduct initial meetings with key stakeholders to understand project requirements and objectives. 2. Develop a project plan outlining timelines, milestones, and deliverables. 3. Provide overall project management support and coordination, including support in maintaining project status, reporting, obtaining approvals and decisions in a timely manner. Requirements Analysis 4. Perform a thorough analysis of the current document management processes and systems. 5. Meet with stakeholders to analyze current business processes, identify the outputs of those processes, and include these outputs in the requirements. 6. Design workflows from business processes to show process inputs and outputs, and how these interact between each other. 7. Perform and document an assessment of the current share drive system, evaluating costs, benefits, risks, and ease of use elements against the use of GCdocs, SharePoint and OneDrive. These criteria can also include any properties that can help with the assessment. 8. Review and document features and functionality of GCdocs, SharePoint and OneDrive, and provide recommendations on how the client may optimize the use of these tools in consideration of business and technical requirements, the target information architecture, user experience requirements, internal capacity, and GoC security and data privacy requirements. 9. Develop a document that recommends GCdocs, SharePoint, OneDrive or a combination of any of these systems to Senior Management. This document must include advantages and disadvantages of implementing these systems. 10. Identify and document functional and non-functional requirements for the recommended document management solution(s). Information Architecture Design 11. Provide guidance on and support the establishment and maintenance of solution governance, including roles and responsibilities, rights and privileges, data, policies, permissions, retention, administration and configuration roles and standards. 12. Develop Information Management (IM) documents that supports the implementation of the recommended document management solution(s), including, but not limited to: 12.1. an Information Management (IM) Roadmap. 12.2. an IM Design document. 12.3. IM best practices for the recommended document management solution(s). 12.4. Taxonomies and standard definitions. 12.5. Guidelines for records management, IM governance, policies, and assessment of 3rd party tools. 12.6. Data conversion and content migration strategies and plans. 12.7. Solution configuration and administration roles and privileges for the set-up of the recommended document management solution, including naming conventions 12.8. Definition of roles and responsibilities for on-going administration of the recommended solution for regular maintenance. 5.12.9. Metadata management policy and procedures. 12.10. Proposed retention schedules and access controls 12.11. Information Management File Plan 13. Develop and document a migration plan from the existing shared drive to the recommended document management solution(s). Implementation Plan 14. Analyze the shared drive and current implementation of the recommended document management solution(s) to identify gaps during implementation. 15. Create a detailed implementation plan for the recommended document management solution(s). 16. Outline and document the necessary technical infrastructure and technical resource requirements for deployment. 17. Develop a testing and validation plan to ensure the architecture meets all requirements. 18. Develop a change management plan to manage the transition to the recommended document management solution(s) and to support awareness, orientation, adoption, sustainment, and growth. Training and Documentation 19. Provide training materials and conduct training sessions for personnel. 20. Develop comprehensive documentation for the information architecture, including user guides, technical manuals, and best practices. Implementation 21. Implement the recommend document management solution(s) according to the implementation plan. 22. Implement the migration plan. Post-Implementation Activities 23. Develop a plan to support the business teams during implementation. 24. Develop a technical support plan, including documentation to assist the client with post-implementation support. 25. Provide first-line technical support services to staff during implementation.
